Administrative and Clerical Encounter Notes

Support staff need an appropriate and clearly identified way to document patient-related interactions directly in the patient record.

Please allow authorized non-provider users to create notes under their own name and role, with configurable note types such as clerical phone call, appointment communication, referral follow-up, records request, or administrative interaction.

These notes should be clearly distinguished from physician or clinical encounter notes. They should display the staff member’s identity, role, date, and time, and remain part of the patient’s chronological record.

Currently, users may rely on workarounds such as creating a task to themselves and completing it. This is inefficient and does not provide a consistent documentation structure.

A dedicated administrative note function would support accurate records, improve continuity between team members, and ensure important patient communication is documented by the person who actually completed it.
