General message and task that is accessed by multiple users

I have recently undergone staffing changes with anticipated multiple changes over the next couple of weeks where I will now have multiple admins. There should be a way of creating a general message and general task section that can be access by multiple user and named accordingly (for example in my case I need a general messaging and task for ADMIN or MOAS; I need 2-3 ppl to access it to work through tasks needed where its clear if something has been completed or responded to without having to send the individuals each the same mail and task. As its stands its a lot of extra work for those people to figure out if a task is completed or if a message has been responded to. These messages are between providers and users. It would allow more seemless transitions when there is staff turnover and would prevent unecessary extra work. Happy to talk about what is needed. Also if something like this already exists I would like to know how to have access to and use it ASAP.
